The brief

One night to turn a venue into a brand

Lux Cozi needed their annual retailers meet to feel like a campaign, not a conference. Every touchpoint from the driveway to the stage had to carry the same visual language, and the venue could only be accessed the night before the event.

Timeline

Seven days, start to handover

  1. Day 1Brief & site recceMeasured the lawn, entrance avenue and banquet hall, mapped sightlines and power points, and locked the element list with the client's marketing team.
  2. Day 2Design & approvalsAdapted the campaign key visuals to gate pillars, stage backdrop, LED content frame and directional signage. Approvals closed in a single round.
  3. Day 3–4Print & fabricationLarge-format printing in-house, MS and wooden frame fabrication, lamination and quality check of every panel before dispatch.
  4. Day 5Transport & stagingNumbered crates by zone so nothing had to be searched for on site. Backup panels printed for the three highest-risk elements.
  5. Day 6 (night)Overnight installationTwo crews worked in parallel — outdoor avenue and indoor stage — with lighting and LED sync completed before sunrise.
  6. Day 7Show day & handoverStandby team on site through the event, plus same-night dismantling and clean site handover to the venue.

Challenges

What could have gone wrong

Venue access only after 10 PM

Pre-assembled every pillar and frame at our Sahibabad unit so on-site work was fixing and levelling, not building.

Outdoor pillars had to read at night

Backlit vinyl with warm garden lighting and a matte laminate to kill glare from the venue's own lamps.

Stage backdrop had to match the LED screen colour

Printed a colour-matched proof against the actual LED content so the printed panels and screen looked like one surface.

Zero margin for reprints on show day

Duplicate panels for the gate, stage and logo wall travelled with the crew and were never needed — but were ready.
